Cancellation & Rescheduling Policy

All donation deposits made toward ceremony participation are non-refundable and non-transferable. Deposits secure a participant’s space and help support ministry preparation, accommodations, staffing, food preparation, and ceremonial planning.

All donations made to AyaWaken directly support the ongoing operations, preparation, and mission of the church. This includes ceremonial preparation, ministry staffing, accommodations, food preparation, sacred space maintenance, integration support, and the extensive time and energy dedicated to preparing each gathering with care and intention.

Due to these preparations and the intentionally limited nature of our ceremonies, donations are considered committed once a reservation is made.

Final donation balances are due 4 weeks before the scheduled ceremony date. Failure to complete payment by the stated deadline may result in cancellation of the reservation and forfeiture of the participant’s space.

If a participant chooses to cancel their attendance for any reason, including personal emergencies, schedule conflicts, travel issues, discomfort, or change of mind, all deposits and payments remain non-refundable and non-transferable.

In the event that AyaWaken must cancel or postpone a ceremony due to severe weather, unforeseen emergencies, or circumstances beyond our control, participants will be offered either:

• A rescheduled ceremony date, or 
• A refund of payments made toward the canceled event. 

If a participant chooses to accept the rescheduled ceremony date provided by AyaWaken, it becomes the participant’s responsibility to attend that newly scheduled ceremony. Failure to attend the rescheduled date will result in forfeiture of all credits and payments associated with the original booking.

Due to the intimate and carefully prepared nature of our gatherings, participants who fail to arrive within the designated check-in window, arrive late without prior approval, or do not attend their scheduled ceremony will not receive a refund, transfer, or credit.

AyaWaken is not responsible for airfare, hotel accommodations, rental vehicles, missed work, or other travel-related expenses incurred by participants.

Because space is intentionally limited in order to preserve the integrity, safety, and sacred nature of our ceremonies, each reservation directly impacts ministry planning, accommodations, staffing, food preparation, and ceremonial preparation.

We ask all participants to book with sincerity, commitment, and understanding of the preparation and energy that goes into holding these sacred gatherings.
